Pick the right QR type
A URL code is the one to use whenever there is any chance the destination will change. Point it at a link you control and you can update where it leads without reprinting anything. A code encoding a raw destination is permanent in the worst way once it is on a sticker or a banner.
WiFi codes encode the network name, security type, and password, and let a guest join by pointing a camera at the fridge instead of reading a password aloud. vCard codes carry a full contact record, which is what makes them worth putting on a business card rather than a bare phone number.
Email and SMS codes prefill a message rather than sending one. The recipient still sees and confirms it, so treat the prefilled text as a suggestion rather than something guaranteed to arrive unedited.
Making sure it actually scans
Contrast is what scanners need, and the polarity matters: dark modules on a light background is what decoders expect. Inverting it, or using two colours of similar lightness, produces a code that looks striking and fails to scan.
Keep the quiet zone. The blank margin around the code is part of the specification, not decoration, and cropping tight to the edge is the most common reason a printed code fails.
Size follows scanning distance. A rough rule is that the code should be about a tenth of the distance it will be scanned from, so a poster read from two metres wants a code around twenty centimetres across. Always test the final printed piece with more than one phone before ordering a run.
